Create / Update Quotations

Quotation is used when a customer plans to purchase some products and he would like to receive a quotation for those products. Customer can use quotation  to send the list of desired products to you.

Create New Quotation


Step 1.
In the main menu, click on Orders from the Sales drop-down.

The following module will be displayed.

Step 2.
Click on Create Order and the following modal will be displayed.

Step 3.
Click on Sales Quotation

The following module will be displayed.

Step 4.
Click on the Add customer. The following modal will be displayed.

Step 5.
Enter the name of an existing customer or create a new customer. Select the customer from the suggestions given below. If you want to add new customer, click on Add New Customer.

Step 6.
Click on Save once you have selected the customer.


Edit/Remove

If you want to edit the customer follow the below mentioned steps.

Step 1.
Click on the Edit icon.

Step 2.
Once you edit the details, click on the Save button.

Step 3.
Click on Remove to remove the customer.

Step 7.
Add the product/service that you want to create the quotation for. Enter the name of the product in the field. Select the relevant item from the suggestions displayed.


Add Packed and Loose Product

In case of packed and loose products, a modal will be displayed

Step 1.
Select one and click on Select Product.

Step 2.
Once the product is selected, fill the Quantityfield for the product. By default it will be 1.

Click on the Tax Type to select the tax type that has to be applied on the product.

Adding HSN/SAC code in Orders

You can add HSN/SAC code of the products while creating an order.

In case you want to add HSN/SAC of the product, you need to enable the same in the General settings page, under the Billing System Settings section.

Once done, following fields will be displayed in the Create Order module:

Scenario 1

When  Display HSN / SAC code and Display Rate,Tax Type, Tax Rate and Final Price is enabled in General settings then  'HSN / SAC' column will be displayed after 'Rate' column.

Scenario 2

When Display HSN / SAC code is enabled and Display Rate,Tax Type, Tax Rate and Final Price is disabled in General settings then  'HSN / SAC' column will be displayed after 'Final Price' column.

Scenario 3

When Display Rate,Tax Type, Tax Rate and Final Price  in General settings is enabled then 'Tax Type and Tax Rate' column will be displayed after 'Rate' column.

Step 8.
Add the additional charges and round of charges, if any.


Add Product Note

In case you want to add a note to the product, click on Add Product Note .

In case if you are selling any electronics device, then you can add IMEI /Serial no. To do that, click on Add IMEI /Serial Number .

Step 9.
Click on Save & Send, to send  the quotation to your customer. A detailed quotation page will be displayed.

This functionality is currently unavailable in mobile.

Update Quotations

This section displays all the quotations that were created and sent.  By default, quotations which are recently created will be displayed first, followed by the rest of the quotations.


Step 1.
In the main menu, click on Orders from the Sales drop-down.

The following module will be displayed.

Step 2.
Click on View Quotations. The following page will be displayed.

  • Quotation Details: Displays the order number, date and time of the quotation.
  • Customers: Displays the customer’s name, mobile no. & customer id.
  • Quotation Value: Displays the total cost of the quotation.
  • Quotation Status: Displays the status of the quotation i.e Created (if the quotation as created but not send), Sent (in case of Save & Send) and Closed ( if the the quotation is converted to invoice).
  • Click on Create New Quotation to create a new quotation.

Step 3.
Click on Send Quotation.

Step 4.
You can convert the quotation to invoice by clicking on Convert to Invoice .

The following page will be displayed. Click on Convert Invoice. 

 

Step 5.
Click on any quotation and the following page will be displayed.

You can view the product details in the Ordered Products section.

Email: You can email the quotation to the customer. All you need to provide is  customer’s email address.
Print:You can print the quotation.
Edit: Once the quotation is created, you can edit it anytime.
More(Delete Quotation): You can delete the quotation clicking on this button.

Step 6.
Click on Close Quotation, once the order has been delivered to the customer.

Step 7.
Click on Convert to Invoice to convert the current quotation to invoice.

Step 8.
Click on Order Note to add additional information to the quotation.

Note
You can view the status in the Quotation Status section.
