Add/Update Products

Add New Product

This module allows you to add new products to your database which you want to sell online. You can add or update product details such as its price, variants, and availability from the Products page.


Step 1.
Click on Stock from the main menu.Step 2.
Select Products from the drop-down options.The following module will be displayed.Step 3.
Click on Add New Product and select Add Product One-By-One from the options displayed.The following modal will be displayed.

Step 4.
Enter the Product Name in the product name field. You can select the product name from our database which will prefill all the details for you or you can click on Create New Product to create a new item in your inventory.

Step 5.
The Product Type will be auto-filled but you can change it as per your requirement. Search a product type which describes your product. The Product Type field decides the category in which the product should be grouped. Based on the product type selected here, the product will be displayed on your online store.

Step 6.
Click on Display Category to categorize your product. Click on Add New Category if you want to add a new category.


Note
If you want to add a sub-category, click on and enter the sub-category name.

Step 7.
Next, you need to add  product images. Product images are displayed on your online store to let your customers see what your products look like. Click on Upload Image in the Image section and select the image of your choice from your computer folder.

You can drag and drop image files or insert the image URL by clicking on Image Link option.

All the images uploaded for that product will be displayed as follows


Important Note
  • The image present at the first position will be considered as the default image. A Default image is the first image that will be visible to your customers for that product.
  • Click and hold the image, and then drag it to the appropriate position to change the order of the images.
  • In case you need to delete any image, click on the  icon displayed on that particular image.

Step 8.
Click on Unit of Measurement to determine the weighing/measuring unit of your product.

For example: On selecting Packet(s) the product type will be Packed and for Liter(s) will be loose.

Step 9.
Click on Net Weight/Content to determine the weight and units of the product. This is an optional feature and can be skipped if not required.


Note
By default, if UOM is not selected, no UOM Abbreviations will be shown in the Pricing and Inventory section


Step 10.
Click on Add Details to add attachments, description, specification and synonyms for your product.

Description: You can enter the product description in this tab. You can also add additional elements to this section by right-clicking your mouse. You can add tables, pointers, change the font style, colors etc.


Video on Product Detail Page
Step 1.
Click on the Media icon to add videos to the products.There are two options:

  • General
  • Embed

General

In the page that opens up, enter the URL of the video in the source section.

The dimensions will be filled automatically once you enter the URL.

Embed

In this section, enter the source code of the video to add.

The video will be displayed as follows:

Click on Save. The Video will be displayed on your online store to the customers.

Specification: You can add your product attributes in this section. This will give the customer more details regarding the features of your product like brand, color etc.

You can add your own attribute by clicking on Add Custom Attribute .

Attachment: You can add attachments according to the product you’ve added to give your customer more details about the product.


Note

Maximum 5 files of upto 10 MB each can be uploaded.

Synonyms: Here you can add synonyms or keywords that the customer will type while searching a product. This will make it easier for them to find a particular product.

Click on Save once you’re done with adding all the details.

Step 11.
Click on Add Variants to display the different types and styles that are available for the product. For example, you can sell different sizes of a shirt or different colors of water bottles.

The following module will be displayed.

Note
You cannot add product variants, in case you have selected a template product.
You can only add product variants for packed products.

For illustration purposes, let’s add variants for a t-shirt.

The Size attribute will be present by default. This attribute will allow you to create variants of the product, based on the sizes.

Important Note

In case you do not want to add the Size attribute, you can clear the text in the name field, and enter your desired attribute name.

Step 12.
Enter the first variant for the entered attribute. Once done, enter a comma and move onto the next variant.

Once all the variants are entered, they will be displayed with tags, in the following way

This action will create different versions of the product based on the variants entered.

Important Note

For each of these, different versions of the product will be created below. For the following values, the variants that will be created are L-Blue-Straight, L-Blue-Regular, L-Black-Straight, L-Black-Regular, M-Blue-Straight and so on.

The maximum number of variants allowed for a product are 100.

Step 13.
Enter quantity, pricing and other inventory information for each variant created.

Foreign Account

The Currency will change according to the Country selected while Sign Up.

Step 14.
Enter the barcode of the product. In case you do not have a barcode, you can allow the system to generate one, by clicking on Generate.

Step 15.
Click on Add Additional Inventory Information and the following options will be displayed.

  1. You can enter the Stock Keeping Unit (SKU) for the product. In case, you do not have an SKU ID you can allow the system to generate one, by clicking on Generate.
  2. The Product Expiry date can be configured in two ways. By Manufacturing Date and By Expiry Date.
    On selecting By Manufacturing Date option, you can select the manufacturing date of the product.
  3. The Best Before option allows you to enter the number of days, months or years  by which the product should be used.
    On selected By Expiry Date , the following options will be displayed.You can select the expiry date of the product by clicking on the calendar.
  4. Auto Maintain Re-order Level: It is the quantity level which can be set  while creating the product. When the quantity of a product is less than or equal to the re-order level, the products is shown as Low on stock. This notifies the user to order the product and keep the inventory maintained.
  5. Auto Maintain Re-order Quantity: It is the number of products that need to be purchased from the supplier once the inventory reaches the re-order level.

Step 16.
Once variants have been created, and their pricing and inventory information have been entered, you can now proceed to add images for each variant.

Click on the image icon for the first variant.

The following options will be displayed.

You can add a product by uploading it from your computer or adding from a URL.

Once uploaded, the variant image will be displayed as follows:

Click on the image to set it as the Default image. Once you are done adding images for a variant. Continue adding images for all the created variants.

Same Colored Variants
In case you have added color as an attribute, product images for same colored variants will be synchronized. Adding image for one variant, will add it for all variants of that color.

Once all details have successfully been entered, click on Save to update all variants. Back on the Add a Product modal, the number of variants created  will be displayed in the Product Variants section.

 Hide Variant

The Hide Variant toggle allows you to temporarily disable any created variant.

Example
Consider that you have created two attributes – Size and Colour.
Size has three variants – L, M
Colour has two variants – Black, Blue
Thus, the variants created will be L-Black, L-Blue, M-Black, M-Blue

In case, you do not want to display the M-Black variant to your customers, but still want the M-Red to be displayed, you can turn on the Hide Variant switch for the M-Black variant.

Step 17.
Enable the Sell Online toggle to sell the product online.

Step 18.
The Pricing and Inventory  section allows you to enter the quantity, MRP, cost price and other inventory details for the product.

You can enter the barcode or let the system create one automatically by clicking on Generate.

Step 19.
Enable Sell Online in Bulk/Wholesale and the following options will be displayed

Enter the Minimum Quantity and Maximum Quantity for the product. You also need to add Discount on MRP and the selling price.

Step 20.
If you want customers to send enquiries for your product enable the Receive Enquiry toggle. The following options will be displayed.

Don’t Display Price: Selecting this tab won’t display the pricing details of the product you add on your online store. If the Sell Online toggle is Off, then only Don’t Display Price Tab will be enabled.

Display Single Price:This will display a single price for the product. Enter the Price, minimum and maximum order quantity. Select the enquiry form which the customers can fill to enquire about the product.

Display Price Range: This will display a price range for the product. Enter the minimum and the maximum price for the product, minimum and maximum order quantity. Select the enquiry form which the customers can fill to enquire about the product.

Display Price based on Quantity: This will display the price based on quantity ordered. Enter the minimum and maximum quantity for the product. Enter the selling price for the quantity range. You can add a maximum of 4 ranges for the same. Select the enquiry form which the customers can fill to enquire about the product.

Step 21.
Click on Add to add taxes to your product. The Add Taxes section allows you to link taxes to the product, when the product is sold/purchased. You can add one sales, and one purchase tax to the product.

1. Add the HSN/SAC code for the product.
2. Add Sales Tax  for Karnataka, outside and within Maharashtra.
3. Add Purchase Tax for the product

Step 22.
Click on Add Delivery Profile to add a delivery range for that product. Select a delivery profile from the options displayed. To know more about delivery profiles, click here.

Step 23.
The Add Reorder Information  option allows you to add details to reorder inventory. To edit this, begin by clicking on Add . The following page will be displayed.

 Product Variants

In case you have created variants, the Auto Maintain Re-Order Level and Auto Maintain Re-Order Quantity options will not be visible.

  • Leaving the Auto Maintain Re-Order Level option checked will apply the global re-order level settings you configured in the General settings section.
  • Leaving the Auto Maintain Re-Order Qty option checked will apply the global re-order quantity settings you configured in the General settings section.

Step 24.
Enter the Brand of the product.

Disabled Fields

In case you selected a template product, the Brand field will be disabled.

Step 25.
Enter the Manufacturer of the product.
a. If this is a new manufacturer, click on Create a New Manufacturer option.
b. If the manufacturer already exists, select it from the list of suggestions.

Step 26.
You can also mention which supplier you want the product to be reordered from.

Start typing the name of the supplier associated to the entered manufacturer, and select the supplier from the suggestion list.  You can also create a new supplier. To know more, click here.

Step 27.
Click on Save and the product will be created successfully.

Step 1.
Click on Products from the Homepage.The following options will be displayed.Step 2.
Click on Add New Product and the following page will be displayed.

Step 3.
Enter the Product Name and you will receive a drop-down list of suggestions. You can select the product from the database or click on Create New Product

The following module will be displayed.

Step 4.
Click on Add Product Image and you will receive the following options to add an image.

Upload from Gallery: You can upload images from your device gallery.
Take a Picture: This option allows you to take a picture from your device camera.
Upload from URL: You can upload an image from the internet by adding the URL of the image.

Step 5.
Enter the Product Name.

Step 6.
Enter the Product Type by searching with a keyword similar to your product. The Product Type field decides the category in which the product should be grouped. Based on the product type selected here, the product will be displayed on your online store.

Step 7.
Select the Display Category for your product. You can add a maximum for 5 display categories for your product.

Step 8.
Click on Unit of Measurement (UOM) to determine the weighing/measuring unit of your product.

For example: On selecting Packet(s) the product type will be Packed and for Liter(s) will be loose.

Step 9.

Step 10.
Enter the product description in the Description section which will give the customer a brief idea about your product.

Step 11.
Enable to Sell Online toggle to sell your product online.

Step 12.
Enter the Quantity, MRP and the Selling Price of the product.

Step 13.
Click on Add Barcode, Cost Price and Tax Info .

The following options will be displayed.

 

Step 14.
Enter the Barcode and the SKU ID. Click on Generate if you want it to be created by the system.


Note
Click on  and you can scan the barcode of the product and the details will be entered automatically

Step 15.
Click on Add Tax and the following slider will be displayed.

 

1. Add the HSN/SAC code for the product.
2. Add Sales Tax  outside and within Maharashtra.
3. Add Purchase Tax for the product

Click on Save after you have entered the tax information.

Step 16.
Click on Delivery Details and the following options will be displayed.

Step 17.
Click on Manage Delivery Profile and the following slider will be displayed. Select the delivery profile for each of your outlets.

Step 18.
Enter the actual weight of the product in Product Dimensions.

Step 19.
If you want to sell your product in large quantities at a wholesale rate enable the Sell Online in Bulk/Wholesale toggle. The following options will be displayed.

Enter the Minimum Quantity and Maximum Quantity for the product. You also need to add Discount on MRP and the selling price.

Step 20.
If you want customers to send enquiries for your product enable the Receive Enquiry toggle. The following options will be displayed.

Step 21.
Click on Save and the product will be created successfully.

Add Products from Library

A product catalog is simply a database of information about all the products that you have ready to sell on your website. A product catalog contains a list of all the products you want to sell in your store. You can select which manufacturer, its brands and their product you wish to sell.


Step 1.
Click on Stock from the main menu.Step 2.
Select Products from the drop-down options.The following module will be displayed.Step 3.
Click on Add New Product and select Add From Product Library from the drop-down options.

The following options will be displayed.

Step 4.
Click on Add Product by Brand and the following slider will be displayed.

Sort By Popular Manufacturer: This will display the list of manufacturers and the brand associated with that manufacturer.

The list can be sorted with respect to the Popular Manufacturers, Popular Brands and Brands(A-Z).

Sort By Popular Brands: This will display the list of brands. Selecting this option will display the following slider.

The list can be sorted with respect to the Popular Manufacturers, Popular Brands and Brands(A-Z).

Sort By Brands Alphabetically (A-Z): This will display the brands in alphabetical order.

The list can be sorted with respect to the Popular Manufacturers, Popular Brands and Brands(A-Z).

Step 5.
You can select any of these products and click on Review Products.

Step 6.
Click on Add Selected Products.

You will receive the following pop-up.

Step 7.
Click on Yes-Add and your product catalog will be updated successfully.

Step 8.
To remove the products, click on Remove Product By Brands and the following slider will be displayed.

Step 8.
Select the brand that you want to delete and click on Remove Products.

You will receive the following pop-up.

Step 9.
Click on Yes-Remove and the product will be removed.

Step 1.
Click on Products from the homepage.The following options will be displayed.Step 2.
Click on Add Products from Library and the following options will be displayed.

Step 3.
Click on Add Product by Brand and you will receive the following options.

Sort By Brands Alphabetically (A-Z): This will display the brands in alphabetical order.

The list can be sorted with respect to the Popular Manufacturers, Popular Brands and Brands(A-Z).

Step 5.
You can select any of these products and click on Review Products.

Step 6.
Click on Add Selected Products.

You will receive the following pop-up.

Step 7.
Click on Confirm and your product catalog will be updated successfully.

Step 8.
To remove the products, click on Remove Product By Brands and the following slider will be displayed.

Step 8.
Select the brand that you want to delete and click on Remove Products.

You will receive the following pop-up.

Step 9.
Click on Yes-Remove and the product will be removed.

Update Products


Step 1.
Click on Stock from the main menu.Step 2.
Select Products from the drop-down options.

The following module will be displayed.

Step 3.
Click on View Products and the following page will be displayed.

The page has two tabs:

Active Products: All the products that are being sold online is displayed under this tab.
Trash Products: All the deleted products will be displayed under this tab.

Data is displayed in the following columns:
Product Detail: Display the product name.
Brand:Displays the product’s brand.
Manufacturer: Displays the product’s manufacturer.
In Stock: Displays the inventory status of the product.
View Inventory: This displays the following module where you can view the batch details of the product along with pricing, stock status and the outlet to which the products belong.

Click on Edit to update the inventory details.

Searching, Sorting and Filtering Products

Searching, Sorting and Filtering functionality can be used to find a specific product in sections like View All, Add Missing Product Details etc.

Searching

If you intend to search for a product using the name of the product (or part of the name), type the name in the Search product by name or you can also search the product by Barcode scanning / number.

Everything (brands, suppliers, as well as products) containing the searched word will be displayed as suggestions. You can select the required result.


Important Note
  • If you want to see all products of that brand, select the in Brands option.
  • If you want to see all products with that manufacturer, select the in Manufacturer's option.
  • If you want to see suppliers with the searched word, select the in Suppliers option.
Sorting

The list of products can be sorted with respect to the name of the product, the brand, and the manufacturer.

To sort the list by a specific column, click on the name of the column. The selected column will turn blue, with an underline.

To sort the list with respect to the name of the product, click on the Screenshot (1344) icon.

Filtering

In case you need to selectively display products, you can filter based on the:

    1. Brand
    2. Manufacturer
    3. Product Status


Important Note

You can use all the 3 available filters at the same time, or two filters at the same time.

Filter by Brand

Step 1.
To filter products by their brand, click on the Filter Products dropdown, and select the By Brand option.

Step 2.
Select the brands that you wish to view the products for. You can select multiple brands.


Important Note
You can also search for a specific brand by typing the brand name in the Search by Brand option.

 

Step 3
Click on Apply .

All products having the filtered brands will be visible as search results.


Important Note
You can remove any brand you wish to from the filter, by clicking on the x icon next to the brand. Search results with that brand will be removed from the list.

Filter by Manufacturer

Step 1.
To filter products by their manufacturer, click on the Filter Products drop-down, and select the By Manufacturer option.

Step 2.
Select the manufacturer that you wish to view the products for. You can select multiple manufacturers.

Important Note
You can also search for a specific manufacturer by typing the brand name in the Search by Manufacturer option

 

Step 3.
Click on Apply .

All products having the filtered manufacturers will be visible as search results.

Important Note
You can remove any manufacturer you wish to from the filter, by clicking on the x icon next to the manufacturer. Search results with that manufacturer will be removed from the list.

Filter by Product Status

You can filter products based on whether they are hidden or not with this option.

To know more about hidden products, click here.

Step 1.
To filter products by their status, click on the Filter Products drop-down, and select the By Product Status option.

Step 2.
You can view either All products,  products that have been hidden, and unhidden .

Step 3.
Click on Apply .
All products having the filtered manufacturers will be visible as search results.

Important Note
You can remove any status from the filter by clicking on the x icon next to the status. Search results with that status will be removed from the list.

 


Step 4.
Click on Barcode Conflict on top of the page and the following module will be displayed.

1. This displays the details of the product that was entered in the import file.
2. This shows the number of barcode conflicts that are still pending to be resolved.
3. Clicking on Retail Current Details will resolve the conflict, and save a product with details that were entered in the Import file.
4. Clicking on Skip This Product will ignore this conflict and move onto the next conflict. The product will not get added in this case, and the conflict will remain pending for your consent.

It will display all the products that have not been added to your system, due to some confusion with the barcode.

Barcode Conflict: It is a case where the barcode entered in the Excel file is associated with 2 or more products from the template product bank.

On importing products using the Import functionality, if the system discovers that the barcode entered matches two or more products, it will automatically consider it as a barcode conflict, and allow you to decide what needs to be done. The product will not be added into the system unless the conflict is resolved.

The number notification with the Barcode Conflict button signifies the number of products which have been kept on hold, and are awaiting your consent.

Step 5.
Select the required product from the list of Suggested Product list and click on Resolve Conflict.

Continue the above steps for all conflicts that keep appearing in the Barcode Conflict modal.

Once a conflict is resolved, the product will be added to your system as per the choices selected.

Step 7.
Click on any product that you wish to edit and the following modal will be displayed.

You can change the product name, image, pricing, unit of measurement etc as per your requirement.

Step 8.
Click on Save Changes once you have made all the required changes.

Step 1.

Step 3.
Click on Share to share the product via following options.

Step 4.
Click on any product that you wish to edit and the following page will be displayed.

You can change the product name, image, pricing, unit of measurement etc as per your requirement.

Step 5.
Click on Save Changes once you have made all the required changes.

Searching and Filtering Products

You can filter the View Products page with the following parameters

1.Brand
2. Product Type

Step 1.
To filter products by their brand, click on the Filter option and select Brand option.

Step 2.
Select the brands that you wish to view the products for. You can select multiple brands.


Important Note
You can also search for a specific brand by typing the brand name in the Search by Brand option.

 

Step 3
Click on Apply .

All products having the filtered brands will be visible as search results

Filter by Product Type

You can filter products based product type.

Step 1.
To filter products by their brand, click on the Filter option and select Product Type 

Step 2.
Click on Apply once you have selected the product type that you want to filter the product list with .

Search

You can search for product by entering the product name and the suggestions related to the keywords entered will be displayed.

Add Missing Product Details


Step 1.
Click on Stock from the main menu.Step 2.
Select Products from the drop-down options.The following module will be displayed.

Step 3.
Click on Add Missing Product Details and the following options will be displayed.

Add Missing Images: This will display a list of all the products which do not have images.

The module has two tabs:

Missing Images: Displays the list of products for which images are missing.
View All: Displays all the products present in the system.

You can Upload an Image from your local folders or Add Images from the URL.

Add Missing Product Types and Display Categories: This will display the list of products which do not have product types or display categories.

The module has 3 tabs:
Missing Product Types: Displays the list of products for which product type is missing.
Missing Display Category:
Displays the list of products for which display category is missing.
View All:
Displays all the products present in your system irrespective of whether the product type is present or not.

Select the Product Type and the Display Categories for these products and click on Update All to save the changes.

Add Missing Sales Tax: This will display the list of products for which sales tax information was not entered.

The module has 2 tabs:
Missing Sales Tax: Displays the list of products for which sales tax is missing.
View All:
Displays all the products present in your system irrespective of whether sales tax is added or not.

Enter the Sale tax for outside Maharashtra and within Maharashtra by clicking on Select Tax. You can also enter the HSN/SAC code for the product.

Click on Update All once you have entered all the details.

Add Missing Purchase Tax: This will display the list of products for which purchase tax information was not entered.

The module has 2 tabs:
Missing Purchase Tax: Displays the list of products for which purchase tax is missing.
View All:
Displays all the products present in your system irrespective of whether purchase tax is added or not.

Enter the Purchase tax by clicking on Select Tax. You can also enter the HSN/SAC code for the product.

Click on Update All once you have entered all the details.

Add Missing HSN/SAC Code: This will display the list of products for which HSN/SAC code was not entered.

The module has 2 tabs:
Missing HSN/SAC Code: Displays the list of products for which HSN/SAC code is missing.
View All:
Displays all the products present in your system irrespective of whether HSN/SAC code is added or not.

Enter the HSN/SAC code for the products and click on Update All once you have entered all the details.

This functionality is currently unavailable for mobile.

Import Products

You can import products in bulk by clicking on this option.


Step 1.
Click on Stock from the main menu.Step 2.
Select Products from the drop-down options.

The following module will be displayed.

Step 3.
Click on View Products and the following page will be displayed.

Step 4.
Click on and the following options will be displayed.

Step 5.
Click on Export and the following modal will be displayed.

Step 6.
Click on Export Product and the following modal will be displayed.

You can view the download status from the Export-Import Product History. Click on Download File once the export is completed.

Step 7.
Click on Bulk Add New Products and the following page will be displayed.

Step 8.
Click on Bulk Add New Products and the following page will be displayed.

Products can be imported in bulk to your system by using 3 different functionalities.

Basic Import

Clicking on the Download link you can download a sample of the file that needs to be uploaded. Sample file will have columns with basic information of products like product name, barcode, quantity, MRP, product packaging, tax etc.

We recommend that you download the sample template, and add your new product info in the downloaded file. This will minimize errors. Refer to the Sample XLS template section for guidance on what needs to go into the import file.

Advanced Import

Clicking on the Download link to you can download a sample of the file that needs to be uploaded.Sample file will have columns with basic information of products like product name, barcode, quantity, MRP, product packaging, tax etc. Additionally, the advance import will have columns like brand, descriptions, main category and sub-categories.

We recommend that you download the sample template, and add your new product info in the downloaded file. This will minimize errors. Refer to the Sample XLS template section for guidance on what needs to go into the import file.

Variant Import

Clicking on the Download link to you can download a sample of the file that needs to be uploaded for variant products. Sample file will have columns with information of products like Unique ID, product name, variant options, barcode, MRP, quantity etc.

We recommend that you download the sample template, and add your new product info in the downloaded file. This will minimize errors.Refer to the Sample XLS template section for guidance on what needs to go into the import file.

Step 9.
Select the outlet for which you want to import the data.

Step 10.
Click on Choose File and navigate to the local folder from where you want to upload the file.

Step 11.
Click on Upload File to proceed. Once uploaded, the progress of the import will be displayed as follows:

On successful completion of the import, the following screen is displayed, indicating the total number of products that were added into your system

Step 12.
Click on Bulk Update Products and the following modal will be displayed. This options allows you to make changes in your existing products in bulk.

Step 13.
Download the Export Product list file and update it with the revised details. Once you have made the changes, click on Upload File to upload the products.

Step 14.
Click on Export-Import history to view all the files that were imported or exported previously. You can download these files by clicking on Download File.,
