Add / Update Supplier Details

This module allows you to add suppliers to your database. You can add a supplier one by one or in bulk using the Import Suppliers option. Irrespective of the adding method, the added suppliers will be reflected in all the sections of your Jd Omni account.

Add New Supplier

This functionality allows you to add supplier’s details into your Jd Omni database, one supplier at a time.


1. From the Admin panel, go to Stock and click on Suppliers.

2. Click on Add Supplier. From the pop up window, enter supplier details such as Business Details, Contact Details, billing address, Tax Details, etc. and click on Save.

3. In case you select a supplier name that exists in the Justdial database, then all the data related to that supplier will be prefilled.


Important Note
Business Name is a mandatory field in order to create a supplier.

Note
You can add multiple contact details and billing addresses for a single supplier.

4. If you have added multiple contact details or billing addresses, then that supplier will have a primary and a secondary contact and billing details respectively.

These details are shown in the suppliers detail page or when you have created a purchase order or invoice for that supplier.

5. You can delete multiple contact or billing details by clicking on  > Delete.


Important Note
If you have deleted a suppliers primary contact or billing details then their secondary details will become primary and will be displayed while creating Purchase Orders and Invoices.

1. From the Home page, tap on Suppliers.

2. From the Suppliers landing page, tap on Add New Supplier.

3. Enter supplier details such as Business Details, Contact Details, billing address, Tax Details, etc. and tap on Save.

Update Suppliers

This functionality allows you to update existing supplier details already registered into your system.


1. From the Admin panel, go to Stock and click on Suppliers.

2. From the Suppliers landing page, click on View Suppliers.

The page gets displayed with the following details:

  • Supplier: Displays the supplier’s name and location.
  • Primary Contact Person: Displays the Primary contact person (if any) and their contact details.
  • Pending P.O: Displays the number of purchase orders for that supplier.
  • Pending Invoice: Displays the number of purchase invoices for the that supplier.
  • Payment Due Date: Displays the pending amount. If payment needs to be collected from the supplier, Collect label will be displayed. If payment needs to be made to the supplier, Pending label will be displayed.

 

3. To edit a supplier’s detail, click on a supplier. The following details get displayed:

  1. Displays the Suppliers name.
  2. Enables you to contact the supplier.
  3. Enables you to create a Purchase Order or Purchase Invoice for that supplier.
  4. Displays a list of purchase orders from that supplier.
  5. Displays a list of pending payments
  6. Enables you to edit the supplier’s details
  7. Displays the Address from where the supplier operates from.
  8. Displays Tax details such as PAN and GSTIN number.
  9. Enables you to delete a particular supplier.

 

4. To edit a supplier’s detail, click on Edit.

5. Edit the details if applicable and click on Save.

Supplier details get updated.

6. If you want to directly make payment or create Purchase Order or Invoice from the suppliers page, hover over the supplier and click on Action. Choose any of the options from the drop-down list and proceed.

2. From the Suppliers landing page, tap on View Suppliers.

The page gets displayed with the following details:

  1. Displays the supplier’s name.
  2. Displays the supplier’s location.
  3. Displays the pending amount. If payment needs to be collected from the supplier, Collect label will be displayed. If payment needs to be made to the supplier, Pending label will be displayed.

 

3. To edit a supplier’s detail, tap on a supplier. The following details get displayed:

  1. Displays the Suppliers name.
  2. Enables you to contact the supplier.
  3. Displays a list of purchase orders from that supplier.
  4. Displays a list of pending payments
  5. Enables you to edit the supplier’s details
  6. Displays the Address from where the supplier operates from.
  7. Displays Tax details such as PAN and GSTIN number.

 

4. To edit a supplier’s detail, tap on Edit.

5. Edit the details if applicable and tap on Save.

Supplier details get updated.

6. You can also add a new supplier from the view suppliers page by tapping on Add Supplier.

Import Suppliers

This functionality can be used to bulk upload new Supplier into your system using Excel file (.xlsx) format.


1. From the Admin panel, go to Stock and click on Suppliers.

2. From the Suppliers landing page, click on Import Supplier.

3. From the modal window, click on Choose File. Select the file from your computer and click on Upload File.

An Import Supplier History dialog box appears, displaying the status of the imported file. If the format is correct then the upload will be shown as successful else an error will be shown displaying as Validation Failed.


Note

It is recommended that you download the Sample Excel file template, and add your new supplier details in the downloaded file. This will minimize errors.

Export Supplier list (.xlsx)
On opening the downloaded .xlsx file in Microsoft Excel, it will look something like this:

The following table will give you an idea of:
Mandatory and Cannot be blank: This is a compulsory field. It cannot be left blank, and should be unique for each supplier.
Not mandatory and Can be multiple: This is not a compulsory field and can be left blank.

Please Note
This feature is currently unavailable. You can import suppliers only through computer.
