Add / Update Supplier Details

This module allows you to add suppliers to your database. You can add a supplier one by one or in bulk using the Import Suppliers option. Irrespective of the adding method, the added suppliers will be reflected in all the sections of your Jd Omni account.

Add New Supplier

The Add Supplier feature allows you to add supplier’s details into your Jd Omni database, one supplier at a time.


Step 1.
From your Home page, click on Stocks from the main menu.

Step 2.
Click on Suppliers module.

Step 3.
From the page displayed, click on Add Supplier .

The following slider will be displayed

Step  4.
Under Business Details, enter supplier’s business name. From here you can add a new supplier or choose an existing supplier from Justdial’s database.

Note
In case you enter a supplier name that exists in the Justdial database, then all the data related to that supplier will be prefilled.

Step 5.
Once you add the business name, the Nick Name field will be automatically filled with the same business name. You can edit or change it as per your requirement.

Step 6.
Enter your supplier’s business website link .

Step 7.
Under Contact Person section, enter the supplier’s name, mobile number, landline number and email.

Step 8.
Enter the pincode of the area where the supplier is based. On entering the correct pincode, the City and State fields get filled automatically. You can edit the fields if needed.

Step 9.
Enter the address of the supplier.

Note
In case you want to add supplier manually then select the state from the states drop-down.

Step 10.
You can add the exact location on map to get the direction instantly. Click on Set Location On Map.

Step 11.
You can manually enter the address in search bar or just click on Use Current Location to point to the address accurately.

Step 12.
Once added, click on Save to save the address.

Step 13.
Under Tax Details, you can add the supplier’s Permanent Account Number (PAN) and Goods & Service Tax Identification Number (GSTIN). This is an optional field.

Step 14.
In the Notes section, enter any notes regarding your supplier (Maximum Characters – 500). This option allows you to add any information or additional details regarding your supplier. Added notes will appear in the suppliers detail page in View Suppliers module.

Example
If this supplier asks for 100% advance payment against all products, so you can add this detail in Add Note.

Step 15.

Once all details have been successfully filled, click on Save to proceed.

Primary Tag

When you add the first contact and billing details, it will display a ‘Primary’ tag. These details will be displayed as primary on all supplier related searches like Purchase Orders, Purchase Invoice, Supplier in Products module etc.

In case of multiple contact and billing details,  icon will be displayed on the details which are non- primary. On clicking this icon, you will receive two options.

  1. Set as Primary – Selected contact no/billing address will be set as primary.
  2. Delete -Selected contact no/billing address will be deleted. For the primary contact no/billing address only Delete option will be displayed on clicking  icon.

Add Multiple Supplier
You can add multiple suppliers via web application.

Step 1.
From your home page, tap on Suppliers module.

The following page will be displayed.

Step 2.
Click on Add Supplier and the following slider will be displayed.

Step  3.
Under Business Details, enter supplier’s business name. From here you can add a new supplier or choose an existing supplier from Justdial’s database.

Note
In case you enter a supplier name that exists in the Justdial database, then all the data related to that supplier will be prefilled.

Step 4.

Update Suppliers


Step 1.
From your Home page, click on Stocks from the main menu.

Step 2.
Click on Suppliers module.

Step 3.
From the page displayed, click on View Suppliers.

The following page will be displayed. A list of all the suppliers existing in your database will be displayed.

You can view the following details on the View Suppliers page.

Supplier: Displays the supplier’s name and location.
Primary Contact Person: Displays the Primary contact person (if any) and their contact details.
Pending P.O: Displays the number of purchase orders for that supplier.
Pending Invoice: Displays the number of purchase invoices for the that supplier.
Payment Due Date: Displays the pending amount. If payment needs to be collected from the supplier Collect label will be displayed. If payment needs to be made to the supplier than Pending label will be displayed.

On hovering next to the supplier, Action Button will be displayed. Clicking on this button will display the following options.

You can create Purchase Orders or Purchase Invoices for the supplier.

If payment needs to be collected from the supplier then Collect Payment option will be displayed.

Note

You can filter the list of suppliers by the following options.

Pending Purchase Orders: This will display all the purchase orders that are yet to be received.
Pending Payments: This filter will display the list of all payments that are pending.
Delayed Payments: All the payments which have crossed the due date will be displayed.

Step 4.
Click on any supplier, that you want to edit and the following slider will be displayed. You can search for a specific supplier by entering the supplier name in the search bar.

1. Displays the name of the supplier.
2. Clicking on this option will displays the list of alternatives with which you can contact the customer.

3. You can Add Purchase Order.
4. Displays the list of purchase orders for that supplier.
5. Displays a list of all the orders for which you can collect or make payments.
6. This option will display the following slider. You can edit the following details from this page.

a. Business Details: Edit all the business related information such as name of the business or business website.
b. Contact Details: Contact details of the supplier can be edited from the Supplier Details section.
c.Billing Address: You can edit the existing billing address of the supplier. Also, pin point address on the map present on slider. In case you want to add a new address, click on the Add Billing Address button and enter the address.
d.Tax Details: Edit all the tax related information such as PAN or GSTIN number.

7. The contact details (primary and secondary) are displayed.
8. Displays the address of the supplier. You can click on the map icon to locate the address accurately.
9. Displays tax details like PAN and GSTIN number.
10. Displays additional notes regarding the supplier (if any).
11.You can delete the supplier.

Step 1.
From your home page, tap on Suppliers module.

The following page will be displayed.

Step 2.
Click on View Suppliers and the following slider will be displayed. A list of all the suppliers existing in your database will be displayed.

You can also view the pending amount for the supplier, next to the supplier’s name. If payment needs to be collected from the supplier Collect label will be displayed. If payment needs to be made to the supplier than Pending label will be displayed.


Note

You can filter the list of suppliers by the following options.

Pending Purchase Orders: This will display all the purchase orders that are yet to be received.
Pending Payments: This filter will display the list of all payments that are pending.

Step 4.
Click on any supplier, that you want to edit and the following slider will be displayed. You can search for a specific supplier by entering the supplier name in the search bar.

5. This will take you to the supplier’s website.
6. This option will display the following slider. You can edit the following details from this page.

b. Contact Details: Contact details of the supplier can be edited from the Supplier Details section.
c.Billing Address: You can edit the existing billing address of the supplier. Also, pin point address on the map present on slider. In case you want to add a new address, click on the Add Billing Address button and enter the address.
d.Tax Details: Edit all the tax related information such as PAN or GSTIN number.

7. The contact details (primary and secondary) are displayed.
8. Displays the address of the supplier. You can click on the map icon to locate the address accurately.
9. Displays tax details like PAN and GSTIN number.
10. You can delete the supplier.

Import Supplier


Step 1.
From your Home page, click on Stocks from the main menu.

Step 2.
Click on Suppliers module.

Step 3.
From the page displayed, click on Import Supplier and the following modal will be displayed.


Note
You can click on the Sample Excel file (.xls) to download a sample of the file that needs to be uploaded.
We recommend that you download the sample template, and add your new supplier info in the downloaded file. This will minimize errors.
Refer to the Sample XLS template section below for guidance on what needs to go into the import file.
Export Supplier list (.xlsx)
On opening the downloaded .xlsx file in Microsoft Excel, it will look something like this:

The following table will give you an idea of:
Mandatory and Cannot be blank: This is a compulsory field. It cannot be left blank, and should be unique for each supplier.
Not mandatory and Can be multiple: This is not a compulsory field and can be left blank.

Step 4.
Click on Choose File and select the file from its location.

Step 5.
Click on Upload to upload the file. You will be able to view the progress of the upload in the Import Supplier History.

If the upload is successful, Upload Successful message will be displayed. In case of unsuccessful file upload, Upload failed will be displayed.

To know the cause behind the failed file upload, click on error.xlsx which will display the reason for the same.

You can click on Import Supplier History from the main Supplier’s module to view the Import History.

This functionality is currently unavailable for mobile.
